Organizer & Planner

The responsibilities that I enjoy working on are jobs which require planning, organizing, and analyses. Tasks such as analyzing data, doing manpower planning, data presentation, making evaluations & comparisons challenge me. 

I am a born ‘organizer’, taking pleasure in systematically arranging  my documents and files, as I like things to be in order around my work area. Planning events and activities, benchmarking the practices of other companies, and making research and HR studies are all exciting exercises which stimulate my mind, providing an array of challenging situations. 

In addition,  I planned and organized shower parties for my friends, our department's christmas parties and summer outings, family & neighborhood christmas parties and other special events, I also facilitated a few parlor games.


Some of the tools I like to use are the following:
 
a) Gantt Chart - I've been using gantt chart since my college days because it is a very useful project management chart that aids in planning a project having many components and team members. A Gantt chart plans the tasks that need to be completed, sets a timeline for the tasks, plans the allocation of resources and creates critical paths for tasks. The steps below will guide you through creating a Gantt chart for your new project.



A Gantt chart is a type of bar chart that illustrates a project schedule. Gantt charts illustrate the start and finish dates of the terminal elements and summary elements of a project. Terminal elements and summary elements comprise the work breakdown structure of the project. Some Gantt charts also show the dependency  (i.e., precedence network) relationships between activities. Gantt charts can be used to show current schedule status using percent-complete shadings and a vertical "TODAY" line as shown here.

Although now regarded as a common charting technique, Gantt charts were considered revolutionary when they were introduced. In recognition of Henry Gantt's contributions, the Henry Laurence Gantt Medal is awarded for distinguished achievement in management and in community service. This chart is used also in Information Technology to represent data that have been collected.



b) FishBone Diagram - One technique for analyzing complex problems that appear to have many interrelated causes is called a case and effect or "Ishikawa" diagram. Fishbone Diagrams are helpful in clearly identifying the relationship between a topic and all of the possible factors that relate to it. 
 

Ishikawa diagrams (also called fishbone diagrams or cause-and-effect diagrams) are diagrams that show the causes of a certain event. Common uses of the Ishikawa diagram are product design  and quality defect prevention, to identify potential factors causing an overall effect. Each cause or reason for imperfection is a source of variation. Causes are usually grouped into major categories to identify these sources of variation. The categories typically include:

    * People: Anyone involved with the process
    * Methods: How the process is performed and the specific requirements for doing it, such as policies, procedures, rules, regulations and laws
    * Machines: Any equipment, computers, tools etc. required to accomplish the job
    * Materials: Raw materials, parts, pens, paper, etc. used to produce the final product
    * Measurements: Data generated from the process that are used to evaluate its quality
    * Environment: The conditions, such as location, time, temperature, and culture in which the process operates


Online Tools:
a) EverNote - I am using Evenote for past 3 months. Evernote is very useful for people like me who use different computer and on the move or have limited access to the internet. You can store files & notes and come back to it later. Create an account now.

b) DropBox - Dropbox allows me to manage files across several computers. Yes, various syncing tools have tried to do this in the past, but not successfully in my view. Dropbox creates a folder on each machine that you simply drag or copy/paste files and folder into, and then syncs these to their storage servers. At the end of a day in the office, I’ll sync files I’ll be needing at home using my computer, wait for them to successfully upload, and then when I open the computer later at home, Dropbox will instantly sync them to that machine, ready for use. Sign up now.

Dropbox is a Web-based file hosting service operated by Dropbox, Inc. which uses cloud computing to enable users to store and share files and folders with others across the Internet using file synchronization.

Why I Love FormStack?
It’s very easy to set up forms, and they can be embedded in existing websites by copying the HTML code that Formstack creates. And with a little more knowledge of HTML, one can do some surprisingly complex manipulation of those forms, like pre-populating fields, and passing field data from one form to another.

Of course, creating forms is just the beginning of the data collection process. I’m impressed by how easily one can store, organize, edit and share form submission data. One can set up additional users with access to the Formstack website, customize how data is displayed, download the data file in several formats, or even put the data in a Google Apps spreadsheet for embedding in a website.




Formstack is an online form builder  which enables users to create any type of online form, including surveys, contact forms, event registrations, order forms, and much more. You can then integrate the form into your website and begin collecting data. The application allows for organizations to create the forms without any programming, software or special skills required.

Founded in 2006, the company is privately held and headquartered in Indianapolis, IN.

In November of 2009, Formstack (then called FormSpring) launched formspring.me, a social question and answer site where you can ask questions, give answers and learn more about your friends. Because of the success of the site, formspring.me was spun out as a separate company in January of 2010 with a different team and different resources. To allow both companies to continue their growth, FormSpring.com became Formstack.com to avoid any confusion with formspring.

Wish this program were around during my college days. A very convenient way of storing dates, ideas, activities and practically anything you'd like to remember. Its like having a thick planner  or notebook without the bulk and the pen. Easy access thru any computer as long as there's an internet connection.

A "note" can be a piece of formattable text, a full webpage or webpage excerpt, a photograph, a voice memo, or a handwritten "ink" note. Notes can also have file attachments.

Notes can then be sorted into folders, tagged, annotated, edited, given comments, and searched.

Evernote supports a number of operating system platforms (including Android, Mac OS X, Windows and WebOS), and also offers online synchronization and backup services. Use of the online server is free up to a certain monthly usage limit, with additional monthly use reserved for paying subscribers.

The Evernote web service launched into open beta on June 24, 2008.

A favorite tool in making Organizational Chart is Ms Visio. Updating and making organizational charts is a regular part of my job. The company I work for changes its set-up and structure every month due to attrition and hiring. I maintain 100+ organizational charts every month.

An organizational chart (often called organization chart, org chart, organigram(me), or organogram(me)) is a diagram that shows the structure of an organization  and the relationships and relative ranks of its parts and positions/jobs. The term is also used for similar diagrams, for example ones showing the different elements of a field of knowledge or a group of languages. The French Encyclopédie had one of the first organizational charts of knowledge in general.


Overview
An organizational chart of a company usually shows the managers and sub-workers who make up an organization. It also shows the relationships between directors : managing director chief executive officer: various departments... In many large companies the organization chart can be large and incredibly complicated and is therefore sometimes dissected into smaller charts for each individual department within the organization.

There are three different types of organization charts:
    * Hierarchical
    * Matrix
    * Flat (also known as Horizontal)



Limitations 
There are several limitations of organizational charts:
    * If updated manually, organisational charts can very quickly become out-of-date, especially in large organizations that change their staff regularly.

    * They only show 'formal relationships' and tells nothing of the pattern of human (social) relationships which develop. They also often do not show horizontal relationships.

    * They provide little information about the managerial style adopted (e.g. 'autocratic', 'democratic' or an intermediate style)

    * The best structure for one type of business may not be the best for another. The best structure for a new business may not be suitable as the business expands.

    * In some cases, an organigraph may be more appropriate, particularly if one wants to show non-linear, non-hierarchical relationships in an organization.

    * It often does not include customers.

The Pie chart is one of my favorite graphical presentations. I consider it the best graph to differentiate gender, age brackets, and division/departments. I'm an expert in making this type of chart.

A pie chart (or a circle graph) is a circular chart divided into sectors, illustrating proportion. In a pie chart, the arc length of each sector (and consequently its central angle and area), is proportional to the quantity it represents. When angles are measured with 1 turn as unit then a number of percent is identified with the same number of centiturns. Together, the sectors create a full disk. It is named for its resemblance to a pie which has been sliced. The earliest known pie chart is generally credited to William Playfair's Statistical Breviary of 1801. 

The pie chart is perhaps the most ubiquitous statistical chart in the business world and the mass media. Pie charts can be an effective way of displaying information in some cases, in particular if the intent is to compare the size of a slice with the whole pie, rather than comparing the slices among them. Pie charts work particularly well when the slices represent 25 to 50% of the data, but in general, other plots such as the bar chart or the dot plot, or non-graphical methods such as tables, may be more adapted for representing certain information.It also shows the frequency within certain groups of information.

I've been handling Job Analyst position for 8 years. The scope of this job covers all divisions and category level managers and down in the company.

Job analysts work in the human resource (HR) department conducting in-depth research about occupations and job descriptions. 

They focus on worker classification systems while studying the effects of industry and occupational trends upon worker relationships. 

They also provide management with descriptions of what each employee in the company does, so that human resources recruiters will know what to look for when hiring employees as well as understand the components of each job. 
The job analyst's role has become increasingly significant as companies and organizations realize the importance of hiring the most qualified employees according to their job descriptions thereby contributing to the profitability and success of any business. 
Job analysts often serve as the technical liaison between the firm and industry, government, and labour unions. 

They usually work for larger companies and organizations, as their skill is very specialized in the HR department. Job analysts gather information about jobs through interviewing employees, observing performance of certain tasks, asking employees to fill out questionnaires and worksheets, and collecting information about a job from secondary sources. 
They know what questions to ask specific individuals and even what questions not to ask, such as personal religion or marital status questions. 
The job analysts will then write-up their findings from the analysis and review them with management. 

The documentation is then presented to the senior manager supervisor for review. 
The supervisor may then act as an editor to add, delete or modify duties, knowledge, skills, abilities, and other characteristics. 

A signed and dated job description is then prepared and the job description becomes the official company record for a particular job. 

The employment analyst field comprises two differing roles -- job analysts and occupational analysts. 

The main difference between the two is that a job analyst looks directly at the worker whereas an occupational analyst studies how a particular worker fits into their career.
